Information Update & Submission Procedures For KVN / Ombudsman Page

Below are procedures for updating or adding web pages for the Jacksonville University NROTC KVN/Ombudsman network. These procedures apply ONLY to KVN/Ombudsman pages on the Jacksonville University NROTC Internet web site.
Requests for web page updates that do not follow these procedures will be deleted and ignored.
The essentials:
- Use proper file naming conventions.
- Ensure image files are the correct size and format.
- Submit photos, newsletter articles, or other information to the Battalion PAO for approval to post the items on the Internet.
- After a screening process, the Battalion PAO will forward the items to the Webmaster.

Proper file naming conventions

- Avoid spaces in the file name:
- "MyPhoto001.jpg" is okay.
- "My Photo 001.jpg" is not as good.
- Do not use any 'special' characters in the file name (underscore and hyphen are OK):
- "Class-Of-05_Graduation.jpg" is okay.
- "ClassOf'05Graduation.jpg" is not acceptable. (Note apostrophe)
- The file name should provide a description of the image. The file name assigned by digital cameras is not sufficient:
- "GuestSpeakerAt-05_BirthdayBall.jpg" is okay.
- "DCX0002045.jpg" is not acceptable.

Ensure image files are the correct size and format
|
|
- Ensure the content of the photo is acceptable for public consumption. If you think that your mother would be ashamed to see the photo on the Internet, then do not submit it for publication.
- Photo Album Photos:
- Provide 2 files for each photo in the album.
- One file is the full size photo; as a rule use a resolution of 640 X 480 pixels for the photo. The file should be named with a caption for the picture. The length of the name is limited to normal Windows naming convention restrictions. For example, the camera file name of a photo might be "DCX00001.jpg" and it is a picture of the CO cooking burgers at the barbeque. The name of the file could be changed to "The CO burned the hamburgers again.jpg". Note - Do not use any apostrophes (') in the name.
- The second file is a thumbnail image of the full size photo. Use a resolution of 75 pixels for the minimum dimension. For example, if the full size photo is 640 pixels wide by 480 pixels high, then use a height of 75 pixels for the thumbnail image. The name of the thumbnail image is the same as the full size photo with the addition of "_sm" before the file extension. To continue the example, the thumbnail image shall be named "The CO burned the hamburgers again_sm.jpg".
- Do not deviate from the proper file naming conventions listed above. If you are unsure if a file name is acceptable, contact the PAO.

Get PAO approval to publish information on the Internet
|
|
- You must submit all documents, photos, information, etc. to the Battalion PAO for publishing on the Internet.
- The Battalion PAO will review all items for their suitability for public consumption.
- Help your Battalion PAO, and familiarize yourself with the official guidance on acceptable material on official Internet sites. The official guidance is contained in SECNAV Instruction 5720.47A. Examples of items specifically addressed in 5720 include, but are not limited to:
- Web sites shall not display personnel lists, "roster boards,” organizational charts, or command staff directories which show individuals’ names, individuals’ phone numbers or e-mail addresses which contain the individual’s name.
- Web sites will not display any logos or graphics for events, issues, or commemorations unless that event, issue, or commemoration is command-sponsored (i.e., a command event), or is approved by the Secretary of the Navy if that event, issue, or commemoration is national in scope. Examples, but not all inclusive, of approved events, issues, or commemorations that are national in scope are Navy Birthday, POW/MIA Day, and Federal secular holidays.
- No materials or services may be advertised for sale or sold via a command Web site. This includes command memorabilia, ball caps, etc.
